Lumistry + Datascan: A More Connected Way to Manage Refills and Patient Communication

Between answering calls, processing prescriptions, and helping patients at the counter, pharmacy teams have plenty to manage. Routine refill requests and prescription status questions can add to the workload, especially when patients have to call the pharmacy to find out what is happening with their medications.

Lumistry connects your pharmacy management system with digital tools that make these interactions easier to manage. With the Datascan integration, pharmacies can connect refill requests, prescription status updates, and patient access through Lumistry Voice and the Patient Portal app.

Here’s what the integration does, how it works, and what it can mean for your pharmacy.

What is the Lumistry and Datascan integration?

The Lumistry and Datascan integration connects Datascan pharmacy management software with Lumistry’s phone solutions and Patient Portal, which is accessible via a web browser or mobile app. It allows patients to request refills through supported digital channels, sends eligible requests directly to Datascan, and keeps prescription status updated in the Patient Portal.

For your pharmacy, that means less manual follow-up on routine requests and a more convenient way for patients to interact with your team.

The integration supports four key functions:

  • Prescription refills: Patients can request refills through Lumistry Voice or the Patient Portal, with requests sent to the Datascan refill queue.
  • Refill eligibility checks: Lumistry checks prescription status with Datascan before submitting a request, helping flag prescriptions that may not be refillable.
  • Prescription status updates: Patients can see updated prescription statuses through the Patient Portal as changes occur in Datascan.
  • Patient and prescription records: Lumistry loads patient records, prescriptions, and prescriber details during setup.

How does the Lumistry + Datascan integration benefit your pharmacy?

Keep refill requests in one place

When patients request refills by phone through Lumistry Voice or digitally through the Patient Portal, eligible requests go directly into your Datascan refill queue.

Your staff can continue working in Datascan without checking a separate inbox, retrieving a fax, or listening to voicemail for requests submitted through these channels.

Each request includes the prescriptions the patient wants to refill and their preferred fulfillment method: pickup, delivery, mail, or waiting at the counter. Patients can also include a note and a needed-by time.

Having those details available with the request helps your team understand what the patient needs without making an additional call just to clarify instructions.

Flag ineligible refill requests earlier

Not every prescription is eligible for another refill. A prescription might have expired, been transferred or discontinued, or have no refills remaining.

Lumistry checks prescription status with Datascan before sending a refill request to the queue. If Datascan shows a prescription can’t be refilled, such as one that has expired or has no refills remaining, the request is declined before it reaches your team.

This helps reduce unnecessary follow-up on requests that cannot be processed as submitted and means fewer dead-end requests reach your refill queue.

Give patients easier access to prescription status

Patients often call to ask whether a prescription is ready, whether insurance has processed it, or whether the pharmacy is waiting on the prescriber.

With the Datascan integration, those status updates can be viewed through the Lumistry Patient Portal instead of requiring a phone call for every update.

When a prescription’s status changes in Datascan, the update can be sent to Lumistry in near real time. Patients can see when a prescription is:

  • In process
  • Waiting on insurance
  • Waiting on prescriber
  • Ready for pickup
  • Ready for delivery

Rather than relying on a nightly status refresh, patients can check the latest available status as their prescription moves through the pharmacy’s workflow.

That added visibility can help reduce routine status calls and give patients a more convenient way to stay informed.

How Lumistry Voice works with Datascan

Phone calls remain an important part of pharmacy communication. Lumistry Voice helps pharmacies manage routine calls, and the Datascan integration connects supported prescription-related requests with the pharmacy management system.

Pharmacies can choose between two separate phone solutions.

Voice IVR: Automated call management

Lumistry Voice IVR uses keypad-based prompts to guide callers through supported tasks, including prescription refill requests. With the Datascan integration, refill requests submitted through IVR go through eligibility checks before reaching the Datascan refill queue.

Lumistry Voice IVR also includes features that make everyday calls and faxes easier:

  • Digital faxing: Pharmacies that use Lumistry Voice as their full phone system can send and receive faxes without a separate fax line to manage.
  • Who’s Calling: Patient phone numbers from Datascan identify incoming callers, so staff can see who is on the line and greet them by name.
  • Click-to-Call: Your team can call a patient with one click instead of dialing by hand, which makes callbacks faster and prevents misdialed numbers.

Voice AI Assistant: Conversational phone support

Lumistry Voice AI Assistant gives patients a conversational way to handle supported requests over the phone. Instead of requiring callers to navigate a series of keypad prompts, it uses AI to understand what a patient is asking and respond accordingly.

For example, a patient might call to ask whether a prescription is ready, request a refill, or confirm the pharmacy’s hours. Rather than listening for a menu option, the patient can explain the request in natural language.

Through the Datascan integration, refill requests from the Voice AI Assistant follow the same eligibility checks and submission process as other supported refill requests.

Both Voice IVR and Voice AI Assistant are designed to look up prescription information in Datascan while a caller is on the line. When a caller enters an Rx number, Lumistry Voice retrieves the available information. If some details cannot be retrieved, the call can continue using the information that is available.

How the Lumistry Patient Portal works with Datascan

The Lumistry Patient Portal gives patients a digital way to interact with your pharmacy, including requesting prescription refills and checking prescription status.

With the Datascan integration, the portal connects to information from your pharmacy management system. During setup, Lumistry loads your patient records, prescriptions, and prescriber details.

Patients can then access their own prescription information through the portal and submit refill requests without needing to call the pharmacy for every routine task.

For pharmacy teams, the benefit is a connected workflow. Patients have another way to interact with the pharmacy, while refill requests still arrive in the Datascan queue where staff already work.

What information syncs between Lumistry and Datascan?

The integration connects specific patient and prescription information between the two systems.

Information What the integration supports
Patient records Names, dates of birth, gender, contact information, email, and address
Prescriptions Drug information, directions, quantity remaining, fill and refill dates, expiration, copay, and prescriber details
Prescription status In process, waiting on insurance, waiting on prescriber, ready for pickup, and ready for delivery
Refill requests Requested prescriptions, fulfillment method, patient notes, and needed-by time when provided

The integration pulls patient and prescription information from Datascan and sends refill requests back to the pharmacy management system. Updates made to patient details in Lumistry do not sync back to Datascan.

Datascan remains your pharmacy’s primary system for managing daily operations, while Lumistry extends patient access and makes it easier to manage refill requests across connected channels.

Get more from the systems your pharmacy already uses

Your pharmacy management system is central to your daily workflow. Connecting it with the right digital tools can make routine tasks easier for your team while giving patients more convenient ways to interact with your pharmacy.

The Lumistry and Datascan integration brings refill requests, prescription status, phone solutions, and the Patient Portal into a more connected workflow. Patients gain digital access to routine prescription information, and your staff can continue managing refill requests in Datascan.

How can Datascan pharmacies get started?

Your onboarding team will guide you through the process, from setting up the connection to getting your staff ready to use it.

Your part of the setup is small: join the onboarding list, meet your onboarding team, and share a few Datascan account details, while Lumistry sets up the connection, transfers your data, and trains your staff. Most pharmacies don’t need new equipment, and once you’re live, refill requests land in your Datascan queue and patients can check their status on their own.
